Many sites may be set up with a media type for managing files such as PDFs, Excel spreadsheets, or Word documents. Managing documents with this method is fairly simple and easy.
Adding Document Links to Pages
- To insert the file, click the Insert Media button in the rich-text editor:

- Click the Choose File button at the top of the media dialog and choose the file you wish to use.
- It is recommended that you use a human-readable name for the file (this will apply to the media item that contains the file—the file itself will retain whatever name it had originally).
- The description field is usually used for the link text. It's acceptable to use the same text as that in the name field, but definitely needs to be human-readable. No filenames here please!
- The newly created media item will appear, selected, in the media dialog. Click Insert at the bottom right to insert the document on the page.
Note that you can also select a media item which has already been created, if, for example, you want to use the same file on more than one page.
Managing Documents
- Go to Content > Media to see a table of all media items.
- You can filter on name, type (typically File in this case) and published status.
- With any individual item you can:
- Edit to change the name, file, or description.
- Delete to remove the media item (files that are no longer linked to any media item will eventually be deleted by the host).
- View will simply take you to the edit form.
- You can also select multiple items and delete or toggle the publication status from the menu at the bottom of the page.
- You can add media items on this page as well, using the Add media button at the top. Items added this way will be available for insertion on pages as per the procedure above.
